Terms and Conditions

Last updated: 15 October 2026

Welcome to Loomia. These terms and conditions (the "Terms") govern the use of the Loomia platform available at loomia.ro (the "Platform"), operated by Trailbits SRL. By creating an account or using the Platform — including by opening a guest link — you accept these Terms. If you do not agree with them, please do not use the Platform. These Terms are to be read together with the Privacy Policy and the Cookie Policy.

1.Who we are

The Platform is operated by Trailbits SRL, a limited liability company registered in Romania, with its registered office at Sat Feleacu, Comuna Feleacu, Nr. 677C, Jud. Cluj, registered with the Trade Register under no. J2026042527004, fiscal code RO55107625, share capital 500 RON ("we", the "Operator"). You can contact us by email at contact@loomia.ro — this is our direct contact channel, and we normally reply within two working days.

2.Definitions

  • "Platform" — the Loomia website and web application, including the public marketplace pages and the pages reached through guest links.
  • "User" — any person who creates an account: a Couple, a Wedding planner, an Event venue or a Vendor.
  • "Guest" — a person who opens a wedding invitation through a personalised link, without an account.
  • "Dar" (the gift) — the cash gift a guest gives directly to the couple, following Romanian tradition; the "gift ledger" is the couple's record of these gifts kept in the Platform.
  • "Marketplace" — the public section of the Platform where professionals publish their profile and receive inquiries from prospective clients.
  • "Event sheet" — the operational summary of a wedding (portion counts, the per-person menu choices with guest names, the seating plan, the schedule of the day, the vendor list, crew meals) that the couple can make available to their venue and planner, including through a unique access link, with no account and no password, that closes 14 days after the wedding. The event sheet never carries the gift ledger.
  • "Paid Plan" — the Pro subscriptions (planner / venue), the Marketplace subscription (vendor) or the one-time Premium purchase (couple), as described on the pricing page.

3.What Loomia is — and what it is not

Loomia is an organisational tool: digital invitations, RSVPs with per-person menus, seating plans, the wedding-day schedule, the venue event sheet, a record of cash gifts and a marketplace of professionals.

Loomia is NOT a payment institution, an electronic-money institution or a financial intermediary. Cash gifts flow directly from guest to couple, through the couple's own payment methods (a payment link generated by the couple's banking app, or a bank transfer to the couple's IBAN). The Operator never holds, processes, intermediates or guarantees these amounts. The gift ledger is an informational record entered and confirmed by the couple.

The only payments processed through the Platform are those for the Operator's own Paid Plans (see "Payment and billing").

4.Our role towards professionals

Loomia provides technical and organisational tools that let couples discover independent wedding professionals, contact them, and keep track of working with them. Loomia does not provide the wedding services those professionals advertise, and does not act as their agent, representative or broker.

Quotations, negotiation, booking, the contract, payment and the actual delivery of wedding services are agreed solely between the professional and their client — including where they are prepared with tools inside the Platform, such as an offer drawn up in the portal or a document uploaded to a client's file. Those tools are the professional's working instruments: their content belongs to the professional and binds only them. The Operator is not a party to those relationships, does not guarantee them, and takes no commission from them, unless we expressly state otherwise for a particular service.

The contracts a professional uploads to the Platform to use with their clients are that professional's own documents: the professional is their author and is responsible for their content, including compliance with consumer-protection law, and they are signed outside the Platform, on the exported document. The Platform is only the tool in which the text is laid out and the fields to be filled in are marked. The Operator does not draft, check or approve the clauses, is not a party to those contracts, and nothing the Platform displays in connection with them is legal advice.

Nothing in these Terms creates an agency, partnership, employment, joint venture or fiduciary relationship between the Operator and any professional. Professionals may not present themselves as employees, agents or representatives of Loomia, nor use the Loomia name, logo or other signs in a way that would suggest such a connection.

5.Your account

  • You must be at least 18 years old to create an account.
  • You agree to provide accurate information and keep it up to date.
  • You are responsible for keeping your password and the connect/share codes generated by the Platform confidential; activity in your account is attributable to you.
  • Wedding planner, Venue and Vendor accounts are intended for professionals; by creating such an account you declare that you act in a professional capacity (not as a consumer) and that the information you provide about your business is accurate and lawful. We may request further information about your business at any time.
  • When a professional account is created you are asked, through a separate checkbox, to expressly accept the unusual clauses of these Terms within the meaning of Article 1203 of the Romanian Civil Code: the limitation of the Operator's liability, suspension and termination of the account, subscription renewal, governing law and jurisdiction. We record the version of the Terms accepted, the moment of acceptance, a fingerprint of the accepted text and — as evidence of the circumstances in which you accepted — the IP address and browser identifier the acceptance came from; we use those last two for nothing else and never tie them to your activity on the Platform. When one of those clauses changes materially we ask for a fresh acceptance. Couple accounts, being consumers, are not asked for this checkbox.
  • You may delete your account at any time from the account settings; deletion is permanent (see also the Privacy Policy).

6.Free services and Paid Plans

The core features for couples — invitations, RSVP, the digital gift with its ledger, and the venue access link — are free. Certain features or extended limits require a Paid Plan: Premium for couples (one-time payment), Pro for planners and venues (monthly or yearly subscription), and the Marketplace subscription for vendors. Professional accounts (planner, venue, vendor) have no permanent free plan: each gets a 30-day free period from signup, with access to the whole product. Each plan's features and the current prices are shown on the pricing page and apply from the moment of purchase.

Displayed prices include all applicable taxes (including VAT, where applicable). The limits of the couples' free plan are enforced technically by the Platform.

7.Payment and billing

Payments for Paid Plans are processed by a third-party payment processor (Stripe Payments Europe, Ltd.). The Operator does not store your card details; they are transmitted directly to the processor under its own terms.

  • The one-time Premium purchase (couples) never expires.
  • Subscriptions are paid in advance, monthly or yearly. Renewing an active subscription extends the remaining period — paid time is never lost.
  • The professional free period lasts 30 days from signup and ends automatically, once per account; on expiry, access to the portal is locked behind a reactivation screen and the public profile is withdrawn from the Marketplace. Nothing is deleted: all data remains saved and becomes accessible again when a paid plan is activated. By way of exception, questionnaires for couples remain available after expiry, without a paid plan. Upgrading to a paid subscription does not carry over remaining trial days.
  • If a renewal payment cannot be processed, paid features are disabled when the already-paid period ends; account data is not deleted.

8.The referral programme

Every professional account (planner, venue, vendor) has a personal referral link and code. A Couple account created through that link — or that enters the code before buying Premium — pays 50 RON less for Premium. For every such Couple account that buys Premium, the professional account that referred it receives a credit of 50 RON.

  • The credit comes off the professional account's next subscription invoices, through the payment processor. It is not paid out, cannot be transferred to another account and cannot be exchanged for cash. A professional account without a subscription yet keeps its credit for the first one.
  • A Couple account can be referred only once, and the first referral recorded stands. The discount cannot be combined with other promotional codes.
  • Referrals have a single level: no credit is given for accounts brought in by referred accounts.
  • If a referred account's Premium payment is refunded in full, the credit given for it is cancelled and added to the professional account's next invoice.
  • The professional account sees only the number of accounts created and of those that bought Premium through its link, without their names.
  • The link is sent by the professional account, over its own channels, only to people it is already corresponding with about their wedding — not in bulk messages or to contact lists. The professional account is responsible for complying with the rules on commercial communications. Loomia sends no messages to the people referred.
  • No credit is given for accounts created in order to obtain it (for example, referring oneself). We may change or end the programme with 30 days' notice, sent by email to professional accounts; credit already given remains valid. Unused credit lapses when the professional account is deleted and is not refunded.

9.Premium bought by a wedding planner for their clients

A Wedding planner account may buy couple Premium, at 150 RON (VAT included) per link, for a couple whose wedding it is organising. The buyer is the planner, acting for professional purposes: the invoice is issued to the planner's billing details, and for each payment the planner receives an account sign-up link, which it passes on to the couple through its own channels, and it is responsible for the message it sends it in. Loomia does not write to the couple on the basis of this link.

  • The purchase being a professional one, the consumer right of withdrawal does not apply. The amount paid is not refunded on the ground that the link has not yet been used or that the couple did not take it up. If we do refund a payment, an unused link is voided at the moment of the refund; a link already used stays valid, and the couple keep Premium.
  • The link does not expire while it is unused and can be used once, by one Couple account. The planner may give it to another couple: the link then gets a new address, the old one stops working, and its tie to the wedding it was bought for is undone, so the new couple receive Premium only, not that wedding. An unused link is lost when the planner's account is deleted, together with the rest of the account's data.
  • The Couple account that uses the link receives Premium without any payment, with the same effects as Premium bought directly, including that it does not expire. The couple pay the Operator nothing and receive no invoice; otherwise their relationship with the Operator is the one set out in these Terms, as for any Couple account. The account shows that Premium was offered to them by the planner. A Couple account that already has Premium cannot use the link, which therefore stays available to the planner.
• If the link was bought for a wedding the planner runs on its own on the Platform, and the Couple account that uses it does not yet have a wedding, the wedding moves into the couple's account with everything the planner entered in it: the guest list, with the menu choices and the notes for the kitchen, the seating plan, the schedule, the vendors and the budget, the latter in full, with all of its lines. Tasks the planner has not made visible to the couple, its documents, notes and client records stay the planner's and do not reach the couple. After the takeover the wedding is the couple's, like any wedding they created: the planner stays connected and sees what the couple allow through the sharing options, and professionals already connected to the wedding (the venue, for example) stay connected, appear on the couple's "Venue & vendors" page and can be removed by the couple at any time. If the wedding has taken place in the meantime, or the planner no longer runs it, the couple receive Premium only.
  • By choosing the wedding at purchase and sending the link, the planner instructs us, as controller of that wedding's data, to hand it over to the couple who use the link (see the Data Processing Agreement). The planner is responsible for the link reaching the couple whose wedding it organised, and for handing the data over to them being consistent with their agreement and with the law. From the takeover onwards, the couple are responsible for the guests' data just as for data they enter themselves.
  • Discount codes and the referral-programme discount do not apply to this purchase, and it earns no referral credit.

10.Right of withdrawal (consumers)

If you are a consumer (a natural person acting outside a professional activity — typically the Couple account), you have, under Romanian GEO no. 34/2014, a 14-day right of withdrawal from the purchase of a Paid Plan, without giving reasons and without cost, with the following legal note: for digital content and services whose performance begins immediately, at purchase you are asked for your express consent to immediate performance and your acknowledgement that you lose the right of withdrawal once the service has been fully performed.

To exercise the right of withdrawal, write to us at contact@loomia.ro, indicating the account and the payment concerned. We refund valid requests within 14 days, using the same payment method. Professional accounts (planner, venue, vendor) do not benefit from the consumer right of withdrawal; when buying a Paid Plan, a professional account confirms through a separate checkbox that the purchase is made for professional purposes, not as a consumer, and we record the moment of that confirmation. Any full refund of a payment — requested or granted by us — ends access to the corresponding Paid Plan from the moment of the refund; the account's data remains, a Couple account continues on the free plan, and a professional account is locked until a new plan is activated.

11.Cash gifts (the dar)

  • A guest who chooses to send a digital gift transfers the money directly to the couple, outside the Platform, using the payment methods the couple published in the invitation.
  • The Platform generates transfer references (e.g. DAR-1234) solely so the couple can identify incoming payments.
  • The couple is solely responsible for the accuracy of the links and IBAN published in their invitation; please double-check them.
  • The Operator is not a party to any gift, charges no commission on gifts, and cannot intervene in transfers between guests and couples (including wrong amounts or disputes).
  • Any tax obligations related to gifts received belong exclusively to the couple.

12.User content

Users and guests can upload or enter content: invitation texts, messages, photos, video greetings, guest data, marketplace profiles. Your content remains yours; you grant us a non-exclusive licence, limited to operating the Platform, to host, reproduce and display it to the people it is intended for (for example: a guest's message — to the couple; a public profile — to visitors).

If you enter data about other people into the Platform (for example the guest list, with names, phone numbers and email addresses), you declare that you are entitled to provide it for this purpose and that the persons concerned have been informed (see the Privacy Policy).

Content that is illegal, misleading, defamatory, obscene, that infringes the rights of others (including copyright or image rights) or that contains viruses or malicious code is prohibited. We reserve the right to remove such content and, in serious or repeated cases, to suspend the account.

Anyone may report potentially illegal content at contact@loomia.ro; we review reports diligently and inform the reporter and, where appropriate, the author of the content about the decision taken.

13.The Marketplace and public profiles

  • Publishing a Marketplace profile requires an active plan — bundled with Pro for planners and venues, the Marketplace subscription for vendors — or the 30-day free period. While the account is active, a profile can be built and previewed before publishing; when the plan or the free period expires, the public profile is withdrawn from the Marketplace and its content remains saved.
  • The professional is responsible for the accuracy and lawfulness of everything they publish in their profile — descriptions, photos, prices, availability, contact details, areas served, and any claim about qualifications, experience, awards or permits — and for the services they provide to clients.
  • A profile appearing in the Marketplace does not mean the Operator has verified the professional's quality, reliability, legality or suitability for your event. We do not verify identity, company documents, bank accounts, insurance or permits, and we grant no professional an "approved" or "verified supplier" status.
  • The professional is solely responsible for complying with all licences, permits, qualifications, insurance requirements and other legal requirements applicable to their business and their services.
  • The Operator is not a party to contracts concluded between professionals and their clients, does not guarantee the performance of services, and charges no commission on those contracts.
  • An inquiry sent through a profile is a contact, not a booking: it does not hold a date, and it does not oblige the professional to reply, to be available, to accept the work, to perform the service, or to honour a price quoted earlier. Once the inquiry is sent, the conversation, the quote and the contract take place directly between the two parties, outside the Platform.
  • Inquiries sent through the public form reach the professional's account, and the professional becomes the controller of the data in them. They may use it to reply, discuss the event, prepare and negotiate a quote, and conclude and perform the resulting contract — that is, for the relationship the inquiry started. They may not sell or transfer that data, pass it to other businesses, add it to marketing databases unrelated to the inquiry, or use it for commercial messages without a lawful basis of their own. The data belongs to the person who sent the inquiry — not to the Platform and not to the professional.
  • The ratings shown on profiles, and the rules that govern them, are described in the section "Ratings and reviews".
  • For any matter concerning their account, billing, moderation, suspension or the ordering of listings, professionals can write to us at contact@loomia.ro; we reply within the time stated in "Who we are".

14.How Marketplace listings are ordered

The order in which profiles appear in the Marketplace — on the search page and on the category and city pages alike — is decided on published criteria, the same for every professional:

  • The filters the visitor chooses — category, city, capacity (for venues) and the name search — narrow the list before any ordering happens.
  • The default order is the average rating received from couples and, where averages are equal, the number of ratings. We chose this because it is the only signal on the Platform built from the experience of real clients rather than from what a professional says about themselves. Profiles with no rating yet appear after rated ones.
  • On the first page, some positions — currently one in four — are reserved for recently published profiles. Without that rule, a new listing, which cannot yet have any ratings, would sit invisibly at the end of the list until it collected its first ones.
  • The visitor can switch the default order to "newest" at any time.

A paid plan is the condition for appearing in the Marketplace, not for appearing higher: while the plan or the free period is active the profile is included in the list; when it expires the profile leaves the list and its content stays saved. Among the profiles that are included, neither the amount paid nor the type of subscription affects position in any way. We do not sell positions, there are no paid promoted listings, and we do not use anything about the visitor to order results.

The Operator does not offer its own services in the Marketplace and gives no profile treatment different from the criteria above.

15.Ratings and reviews

  • A rating can be left only by the couple of a wedding managed in the Platform to which the professional was added or connected through Loomia — through a single-use link form, once per wedding-and-professional pair. What the Platform confirms is the link between the couple, the wedding and the professional; we do not ourselves verify that the service was performed. Once submitted, a rating cannot be changed.
  • Only the average and the number of ratings are shown on the public profile; individual comments stay private and are not published.
  • Any manipulation of ratings is prohibited: ratings given by the professional themselves or by people close to them, accounts or events created for that purpose, ratings bought or obtained in exchange for any benefit, ratings given to competitors, and any coordinated action to raise or lower an average artificially.
  • We may remove, without prior notice, any rating we consider fraudulent, manipulated, unlawful, abusive or unrelated to the service provided, and we may remove the entire rating history of an account involved in such a practice. We tell the professional concerned why, and they can contest the decision at contact@loomia.ro.

16.Data privacy

The processing of personal data is described in the Privacy Policy, which forms part of these Terms. One product rule bears repeating here: the gift ledger is visible exclusively to the couple — planners, venues and vendors connected to a wedding have no access to amounts, giver identities or any other gift data.

Professional accounts (wedding planner, event venue, vendor) also enter third parties' data into the Platform: the guests of events they manage entirely, the clients and prospects in their pipeline, the people who write to them through the Marketplace and the couples who fill in their questionnaires. For that data the professional is the controller and the Platform operator processes it on their behalf, as a processor, under the Data Processing Agreement — which forms part of these Terms and is accepted when the professional account is created. The professional is responsible for the lawful basis of the data they enter and for informing the persons concerned (Art. 13 and 14 GDPR): the Platform sends no notice to guests entered by a professional.

The event sheet opens through a unique access link, with no account and no password, and it carries guest names, their menu choices and anything they wrote in the free-text "other" field. The address is published nowhere, does not appear in search engines and is randomly generated: it works only for whoever receives it. The names are there because without them a plate cannot be tied to a place card and an allergy cannot be served safely. The couple decide whether to send that link and to whom, send it only to the professionals working on the event, and do not post it anywhere open to all; they can generate a fresh link from the app at any time, and the old one stops working immediately. Either way the link closes itself 14 days after the wedding date.

A professional who receives the event sheet — by link or by being connected to the wedding — receives it for one purpose: preparing and running the event. They must keep it confidential, make it available only to the members of their own team who need it, neither publish it nor pass it on, and not use guest data for their own purposes, including marketing. Failing to do so may lead to suspension of the account, and it does not relieve the professional of their own responsibility towards the guests. This is a wedding the couple manage in the Platform themselves, so the data on the sheet is not the professional's: they receive it as an independent controller, solely to deliver their own services, and the Data Processing Agreement referred to above does not apply to it.

The professional's access to their data: your professional account gives you direct access, for the whole duration of the contract, to the data you enter and to the data generated by using the Platform — your events, the guests you enter, your client base, the inquiries you receive, your questionnaires with the answers to them, the documents you upload, your aggregate ratings and your own statistics — and lists can be exported. We do not sell this data and do not make it available to other professionals or to third parties for commercial purposes. The Operator accesses it only to provide and maintain the service, to answer your support requests, and to produce aggregate statistics from which no individual professional can be identified.

17.Intellectual property

The Platform, the Loomia name, its design, its own texts and its source code belong to the Operator or its licensors and are protected by law. You are granted a limited, non-exclusive, non-transferable right to use the Platform as intended. Copying, systematic data extraction (scraping), decompiling or using the Platform to build a competing service is prohibited.

18.Availability and liability

We make reasonable efforts to keep the Platform available and secure, but we cannot guarantee uninterrupted or error-free operation. The Platform is provided "as is", to the extent permitted by law.

To the maximum extent permitted by law, the Operator is not liable for: money transfers between guests and couples; content entered by users or guests; services provided by Marketplace professionals; indirect losses. Towards professional users, the Operator's total liability for all claims arising in any 12 consecutive months is limited to the greater of: the total paid to the Operator by that user in the preceding 12 months, or 2,000 RON. Nothing in these Terms limits the rights the law grants consumers, nor liability that cannot lawfully be limited (for example, for intent or gross negligence).

The professional is responsible for the services they provide and the content they publish, and shall indemnify the Operator against claims, losses, damages, fines, costs and reasonable legal expenses arising from: their services and how they are delivered; content published in their profile or sent through the Platform; breach of these Terms or of the Data Processing Agreement; infringement of a third party's rights, including intellectual property and image rights; unlawful conduct; use of personal data for purposes other than those permitted. This obligation does not apply to the extent the loss was caused by the Operator's own act or omission.

We will notify you of any such claim without undue delay, will not admit it without your agreement, and will allow you to take part in the defence at your own cost.

19.Suspension and termination

You may delete your account at any time, from the account settings.

We may restrict, suspend or close an account on grounds including: false or misleading information at registration or in a profile; fake profiles or impersonation of another person or business; illegal activity; fake or manipulated ratings; misleading claims about services, prices, qualifications or permits; infringement of other people's intellectual property or image rights; using guest or client data for purposes these Terms do not permit; harassment, threats or abusive language towards other users; unsolicited bulk commercial messages; attempts to compromise the Platform's security, to extract data systematically or to circumvent technical limits; non-payment of amounts due; repeated breaches of these Terms after a warning.

Before suspending or closing a professional account we tell you the reasons on a durable medium, normally by email. Where the account is being closed, we do so at least 30 days in advance. You can contest the decision by replying to the same address; we review the objection and tell you the outcome.

We depart from the notice periods above where immediate action is needed to prevent a security risk, a breach of the law, fraud or harm to other users, and where a legal obligation requires it. In those cases we give the reasons immediately after taking the measure.

Amounts for periods already provided are not refunded where an account is closed for breach of these Terms, to the extent permitted by law.

20.Changes to the Terms

We may update these Terms (for example, when introducing new features or following legislative changes). The current version, with its last-updated date, is permanently published on this page; significant changes will be announced in the Platform or by email a reasonable time in advance. Continued use after changes take effect constitutes acceptance.

For professional accounts, changes are communicated on a durable medium at least 15 days before they take effect, and where a change requires technical or commercial adjustments on your side, with a longer period proportionate to the effort involved. You may terminate the contract within that period at no cost. Changes do not apply retroactively.

21.Governing law and disputes

These Terms are governed by Romanian law. Disputes are resolved amicably or, failing agreement, by the competent courts in Romania (for consumers, according to the jurisdiction rules provided by law).

Consumers may address the Romanian National Authority for Consumer Protection (ANPC), including through the alternative dispute resolution (SAL) mechanism available at reclamatiisal.anpc.ro.
